Work with deliverables in the grid
This guide explains how to preview, add, download, and review the deliverables in a project from the deliverables grid, and check their Smart Tagging status. The grid lists populated deliverables and placeholders together, so you can check progress on every asset the brief asks for.
|
What you see here depends on your workspace’s configuration. Which deliverable tabs a project has and what they are called, which file versions you can download, and whether Smart Tagging statuses appear all vary. To change it, contact your administrator. Understanding project types and forms explains how this is configured. |
Prerequisites
Before you begin, ensure you have:
-
Access to Collaboration Hub projects, through a group set up by your administrator. Access granted through groups explains how groups grant this access.
-
A project with deliverables. Manage deliverables covers adding deliverables to a brief and uploading content to them.
-
The Owner, Editor, or Creator role on the project. Your administrator can assign these roles, or the project owner can assign them on the project’s Collaborators tab. Manage project collaborators covers adding collaborators and assigning their roles.
Open the deliverables grid
To find a project’s deliverables, open its deliverables grid. The All Items tab lists every deliverable, and each deliverable type also has its own tab.
-
Select Content Portal from the app switcher in the left navigation.
-
Select Collaborate, then select the All Projects tab.
-
Select a project.
-
Navigate to the deliverables grid tab.
-
Select All Items, or the tab for a single deliverable type.
A deliverable type’s tab appears once it has at least one deliverable. All Items appears as soon as the project has a deliverable type. Each tab lists its populated deliverables and placeholders together.

Preview a deliverable
To check a deliverable’s details without leaving the grid, open its preview.
-
In the deliverables grid, select a deliverable, then select View Details.
The preview opens with the details panel beside it.
-
To move through the project’s deliverables, select or above the details panel.
Add deliverables from the grid
You can upload deliverables straight into the grid, without adding placeholders in the brief first. To plan deliverables with their specifications, add them in the brief instead. Add deliverables to the brief covers that route.
-
In the deliverables grid, select Add.
In All Items, Add lists the options for every deliverable type in the project. You can use it to add the first deliverable to a project that has none yet.
-
Choose an upload or URL option for the deliverable type.
-
Add the file or URL, then select Upload.
The deliverable appears in All Items and in the tab for its type.
Download deliverables
You can download populated deliverables. Placeholders have no file to download.
-
In the deliverables grid, select the deliverables, then select Download in the actions bar.
If your selection includes placeholders, a warning appears. Select Continue with remaining <number> resource/s to download the populated deliverables only. If your selection contains only placeholders, you can only select Dismiss.
-
If the Select Download Files dialog appears, review the downloadable transforms it lists. The dialog selects all of them by default. Clear any you do not need, then select Download.
The files download as a ZIP file.
Send deliverables for review
You can send populated deliverables to a review straight from the grid.
-
In the deliverables grid, select the deliverables, then select Create Review.
If your selection includes placeholders, a warning appears. You can continue with the populated deliverables. If your selection contains only placeholders, you can only select Dismiss.
-
In the New Review dialog, set the review details, then select Create Review.
The dialog fills in the review name for you. A review of one deliverable type is named
<deliverable type> Review - <date and time>. A review of several types is namedMulti Type Review - <date and time>. For further information, refer to Create a review.
Check Smart Tagging status
If your administrator has enabled Smart Tagging statuses for a deliverable type, you can check which deliverables have been tagged.
To view each deliverable’s status, select View by Tag Status > Smart Tagging in the deliverables grid. Each deliverable displays one of these statuses: Not Submitted, Submitted, AI Tagged, Failed, or Invalid. While this view is on, the tag status replaces each deliverable’s state.
To display only deliverables with a particular status, select the Smart Tags filter on any deliverables grid tab, including All Items, then choose Failed, Submitted, AI Tagged, or Invalid. The grid switches to the Smart Tagging view.
Troubleshooting
Each problem below is a common cause of a blocked grid task. Select one to see how to fix it.
Problem: Add or Delete is unavailable in the grid.
Solution: your administrator has restricted the grid tab at the project’s current workflow stage. A tooltip on the unavailable control explains this. The restriction applies to every tab in the grid, including All Items. You can still download, review, revert, and edit deliverables. If you need to add or delete deliverables at this stage, contact your administrator.
Problem: Download or Create Review does not continue.
Solution: your selection contains only placeholders, which have no file to download or review. Select Dismiss, then select at least one populated deliverable.
Problem: The project does not move to the next stage, and a Smart Tagging Error message appears.
Solution: some of the project’s assets need Smart Tagging before the project can move to the next workflow stage. Select Dismiss, then check the assets' statuses in the Smart Tagging view. For further information, refer to Check Smart Tagging status. If any assets have the Failed or Invalid status, contact your administrator.
Problem: View by Tag Status does not appear in the grid.
Solution: your administrator has not enabled Smart Tagging statuses for this deliverable type. To use them, contact your administrator.
